What account mapping does#
After you connect a scheduling tool, PilotDeck reads the social accounts inside it. Account mapping is where you tell each site which of those accounts to use. The setting is the Which accounts does this site use? section of Settings > Integrations. The example below uses a PilotDeck site named pilotdeck-testwebsite.
Per site
The selection belongs to the site you have open. Another site keeps its own list, even when it uses the same tool.
Grouped by platform
Accounts appear in one group per platform, such as LinkedIn or Facebook, so you can see what each platform will post to.
Tool stays connected
Removing an account from the selection does not disconnect the tool. It only stops this site posting to that account.
Before you start#
| You need | Details |
|---|---|
| A connected scheduling tool | Connect one first: Publer, Buffer or Postiz. PilotDeck reads the account list from the tool when you connect. |
| At least one account in that tool | For example a page named "Example Company Page". PilotDeck lists the accounts it has saved from the tool. |
| Permission to change integrations | Without it the account tiles and Save Changes are disabled, with the note "Your role can't change which accounts this site uses." |
Overview#
- 1Open Settings > Integrations for the right siteYou
- 2Find Which accounts does this site use?You
- 3Click the accounts this site should post toYou
- 4Click Save ChangesYou
- 5PilotDeck checks each account against the tool and stores the selectionPilotDeck
- 6Confirm the Saved message and the selected tilesVerify
In PilotDeck, pick the site in the top-left site switcher (here, pilotdeck-testwebsite), then go to Settings > Integrations. Scroll below the scheduling tool tiles to the section headed Which accounts does this site use?
Under the heading you see "Posts for this site publish only to the accounts selected here, not every account your tool has connected." Each platform has its own group with a count, for example "LinkedIn, 2 accounts". Every tile shows the account name and where it comes from, such as "LinkedIn via Publer".
Groups follow the platforms PilotDeck knows: LinkedIn, Facebook, Instagram, X, Threads, Mastodon, Bluesky, Pinterest, Reddit and Telegram. If a platform is not on that list, PilotDeck still shows it under its own name.
Click a tile to select it. A selected tile turns green and shows a filled check. Click it again to deselect it. Nothing is stored yet: your changes stay on screen until you save.
- Select every account the site should post to, across any platform.
- Select accounts from more than one tool if you connected more than one. Each account tile names its tool.
- Click Cancel to put the selection back to what was last saved. It appears once you change something.
Click Save Changes. The button stays disabled until the selection differs from the saved one. When it finishes, a small Saved. note appears next to it.
Saving replaces the whole list for this site, so an account you deselected is removed and every selected account is stored.
Reload the page. The accounts you saved are still selected. Then open the site's social queue: posts for a platform you mapped can be pushed to the tool, and PilotDeck sends each post to every account you selected for that platform.
How PilotDeck uses the selection#
| Situation | What happens |
|---|---|
| No account selected for a platform | A push for that platform is refused with "This site has no social accounts configured for this platform yet. Pick accounts in Settings > Integrations." In the queue the post shows as not mapped, which is different from a missing tool. Automatic publishing skips the post and tries again later without counting a failure, until you pick an account. |
| Two accounts selected on one platform | Each post goes to both accounts. |
| Accounts from several tools | You can mix them. Each account keeps the tool it came from. |
| Tool needs reconnecting, or the account disappeared from the tool | That account is treated as not available, even though it is still selected. Reconnect the tool or pick a different account. |
| Same tool, different site | Each site has its own selection. Changing one site does not change another. |
Each account you select must still exist in the tool when you save. If the tool no longer lists it, the save is refused and you are asked to reselect your accounts.
Troubleshooting#
I do not see the section at all
The section is shown only to roles that may view it. Ask a site admin to check your role.
The section is empty or an account is missing
Save Changes is greyed out
Either nothing has changed since the last save, or your role cannot change the setting. The tooltip tells you which.
The page shows a load error
Click Retry. If it keeps failing, reload the page and check that the right site is selected.
A post says it is not mapped
The tool is connected, but this site has no selected account for that post's platform. Select one here and save.
I want to stop one site posting to an account
Deselect the tile and click Save Changes. The tool stays connected and other sites are not affected.
